Job Description

The Admin Assistant will support the smooth, efficient, and professional daily operations of MHCO’s Nangarhar office. This position is responsible for managing office logistics, reception, documentation, supplies, and communication tasks. The role includes coordinating meetings and travel arrangements, organizing filing systems, assisting HR and Finance with administrative matters, preparing reports and presentations, supporting events, and ensuring compliance with MHCO policies.

The Admin Assistant must maintain high levels of confidentiality, follow safeguarding standards, and promote a well-organized and secure office environment.


Duties & Responsibilities

Office & Administrative Management

  • Manage daily office operations including reception duties, mail distribution, and supply management.

  • Maintain a clean, organized, and secure office environment.

  • Coordinate office logistics such as meetings, appointments, and travel arrangements.

  • Prepare reports, presentations, letters, and other official documents.

  • Maintain accurate records of staff, office assets, and procurement activities.

  • Manage both electronic and physical filing systems.

  • Ensure timely submission of administrative documents to relevant departments.

HR & Finance Support

  • Assist HR with attendance tracking, leave records, and onboarding documentation.

  • Support the Finance team with invoice processing, petty cash handling, and general office expenditures.

  • Prepare and monitor office-related purchase requests and orders.

Communication & Coordination

  • Serve as the focal point for internal and external communications.

  • Facilitate coordination between departments, field teams, and partner organizations.

  • Respond to inquiries professionally and promptly.

Event & Meeting Support

  • Organize workshops, trainings, and official events.

  • Prepare meeting rooms, materials, and refreshments.

  • Take meeting minutes and share them with relevant staff members.

Compliance & Safeguarding

  • Ensure adherence to MHCO policies, including safeguarding, PSEA, and data protection standards.

  • Maintain strict confidentiality of sensitive information and documents.
